    IFRS-Compliant Financial Management

    The HAQQ eFirm Financial Module is a fully integrated, IFRS-compliant accounting system built for law firms. It covers the complete financial lifecycle: recording expenses, issuing invoices, collecting payments, posting journal entries, managing a chart of accounts, and generating financial reports. It contains seven sub-modules: Expenses, Invoices, Journal Entry, Payments, Budgets, Chart of Accounts, and Reports.

    1. 1Invoices sit inside the Financial module, next to Expenses, Payments, Budgets and the Chart of Accounts.
    2. 2Quarter totals update as invoices are raised and paid. Billable hours come straight from logged time.

    Transaction Lifecycle

    Every financial transaction follows a three-stage lifecycle:

    Important

    Only users with the Financial Controller permission can approve transactions. This permission is configured in Firm > Settings > Roles & Permissions. Only draft transactions can be deleted. Once approved, the only way to neutralize a transaction is to void it.

    Configure Currencies

    Set your base currency (e.g., USD) and add additional currencies with conversion rates. Rates only affect new transactions — no retroactive updates.

    Create Invoice Templates

    Drag-and-drop builder with Header, Body, and Footer zones. Blocks: Logo, Company Info, Client Info, Items Table, Timekeepers. Starter templates: Classic Professional, Modern Minimal, Detailed Legal, Invoice Summary.

    Create Receipt Templates

    Same builder as invoices but for payment receipts. Blocks include Receipt Details, Invoice Reference, and Amount Received.

    Set Up Billing Profile

    Define your firm's billing identity: Profile Name, Company Name, Country, City, Address, Phone, Fax, Email, and Tax Number.

    Expenses

    Expenses track money going out of the firm. Each expense has a header and one or more line items.

    Expense Fields

    Pairing the Expense Account

    An expense names two accounts, not one. Payment Account is where the money leaves from. Expense Account is the cost line it lands on. Naming both lets the expense post itself against the right pair, so you never open Journal Entries to move it by hand.

    Tip

    Firms usually mirror the two, so the pairing is obvious at a glance: an asset account numbered 070707 and its matching expense account 070707-01. Same stem, different suffix.

    Important

    Posting the same movement by hand in Journal Entries is the usual source of a reversed entry — the debit and credit end up the wrong way round, and the account reads short by the amount instead of over. Let the expense post itself and the direction is never in question.

    Following the Money on an Account

    Every account carries its own movement history — each debit and credit, what it came from, and where it went. Open the account rather than the report when the question is "why is this balance what it is": the history answers it directly, and it is the fastest way to spot an entry facing the wrong way.

    Scenario

    Paying a 250 expense from a funded account

    An asset account holds an opening balance of 1,000, and its paired expense account is set up alongside it.

    Steps

    Record an expense of 250 with the asset account as Payment Account and its paired expense account as Expense Account.

    Result: The asset account drops to 750 and the expense account shows a debit of 250. Both accounts' histories show the same movement from their own side, which is the check that the pairing is right.

    Client Funds Held on Account

    Money a client advances for costs moves in stages rather than landing straight on the matter: from cash, into an advances or imprest account when it is allocated to whoever will spend it, then onto the client's current account as it is actually spent. Each stage nets against the one before it, and the client's account returning to zero is the signal the advance is fully accounted for.

    Important

    Keep client money in its own account range rather than mixing it with firm cash. The staged structure exists so that at any point you can say what is still the client's and what has become the firm's, which is the question a trust audit asks.

    Finding an Expense in a Busy Firm

    With tens of fee earners filing costs, the expense list needs narrowing before it is useful. Filter by status to separate what is approved from what is still waiting, and by creatorto pull up one person's expenses when you are reviewing their work rather than scrolling the firm's.

    Important

    Posted financial records are not deleted. Once an entry exists it stays in the ledger, because a deletable ledger is not an auditable one. Archive it instead — archived entries drop out of reports while the underlying record and its history remain intact.

    Invoices and Revenue Recognition

    Auto-numbered invoices tied to client contacts with billing profile, matter link, line items, discounts, tax calculations, and multi-currency support. Pull unbilled timesheet entries directly into invoices with the "+ Add Timesheet" button (pre-filtered to show only unbilled, billable entries for the same matter/client).

    Revenue recognition supports monthly schedules. After approval, the system generates daily journal entries for the recognition period on a straight-line basis. Terminating recognition preserves past entries and cancels only future pending rows.

    Time Tracking

    The Start Timer button in the top bar gives you three modes:

    Tip

    The Charging Hourly Rate set on your member profile (by the administrator) determines your billing rate on invoices. If your rate changes, ask your administrator to update it in your Payroll tab.

    Currency Rates

    Multi-Currency and Import/Export

    Configure multiple currencies with conversion rates relative to a base currency. Each account is denominated in a single currency. Cross-currency transactions auto-convert using configured rates. Import data using system-provided templates for expenses, invoices, and chart of accounts. Export to Excel or CSV.

    Important

    Always use the system-provided template for imports. Custom file formats will be rejected. Do not modify column headers.

    Scenario

    End-of-month billing workflow

    You need to generate invoices for all matters worked on this month.

    Steps

    Open Justinian (requires an active AI Engine trial or subscription) > prompt: "Generate invoices for all active matters with unbilled time entries this month. Use our default billing profile. Set payment terms to Net 30." > Justinian creates draft invoices for each matter > Financial Controller reviews and approves each one.

    Result: Three invoices created in the Financial module, each linked to the correct matter with timesheet entries attached. Ready for Financial Controller approval.
